Comments and Memos allow agents and administrators to communicate and record information directly on a lead.
Comments
Comments can be added to a lead by the owning agent from the Comments tab in the lead sidebar.
When an agent adds a comment:
- Admins are notified by email
- Admins can click Reply in the email to open the lead directly to the Comments tab and respond
This makes comments ideal for:
- Asking questions about a specific lead
- Collaborating between agents and admins
- Requesting clarification or guidance on next steps
Automatic Status Updates
Changes to the lead status (for example, Accepted, Completed, or Declined) are also recorded in the Comments section for visibility and auditing purposes.
- These system-generated updates do not trigger admin notifications
Memos
The Memo tab in the lead sidebar is used for note-taking by the lead owner.
Memos are best suited for:
- Personal reminders
- Sales notes
- Follow-up planning
- Internal context an agent wants to keep on the lead
Key points about memos:
- Admins are not notified when a memo is added or updated
- Admins can view memos in the lead sidebar for transparency and oversight
- Memos are not intended for back-and-forth discussion
